To use this feature, click the EOY button
on the main switchboard.
The End-of-Year Process is used to
quickly prepare your SUManager Plus database for a new scouting year. This
process performs several actions.
- All active scout and adult records that use a
Years in Scouting number get incremented by one. Records that
use a Date in Scouting are not affected because the "Years in
Scouting" report uses the date to calculate the years,
- All scout records are advanced to the
next school grade level. Scouts already in the senior/twelfth grade
are advanced to "Not Applicable". After that if the record is still flagged
as a scout record the level turns to "Unknown".
- Qualifying active scouts are bridged
to the next program level based on either their new age or new school grade.
BEFORE running the process:
- Make certain you have made a
backup
copy of your database. The EOY process cannot be un-done.
- Confirm that the process has not been
run recently. Inspect the last processed date and make sure you
don't end up running it twice in the same year.
- If you plan on using the automatic
program level bridging feature, preview the impact by running the "Program
Level Bridging" report.
AFTER processing:
The "Training and Certifications"
report should be used to report on training and certifications that have
expired, or are soon to expire.
